Subject: Event organising

For our events to run properly we need to have somebody (or preferably at least two bodies) to do the running on the day and decide on the race format. In the past this has ended up on the shoulders of a single person which is jolly unfair and hence a situation we should not repeat. In the light of this I would be very appreciative if you would all contact me, clamouring to be on the privileged list of event organisers. For those who aren't into the racing side we have an extra slot of manning the BHPC stand at York rally.
The Saturday of York rally will also have the added attraction of being the place where we hold the AGM, in a change from our traditional use of a dingy brown room in East London in Autumn, this will be followed by a meal as a reward to those who sat through the AGM. There will definitely NOT be a disco but there will be beer and other libations.Big smile

Anyway on to the season organisators, the event list is as follows and as soon as people volunteer their names will be added to the glorious roll. A handbook explaining the nuances of event running will be ready shortly.

9th April - Castle Combe  - Anne Bennet & Neil Martyn & Geoff Bird
30th April - Hayes/Hillingdon  - Kevin Jenkins + Sherri DonaldsonBig smile + Dave LarringtonBig smile

I'll do Welwyn Velodrome as it's nice and close to Hemel and so won't involve me getting out of bed early...

gNick -
Myself and Anne are happy to give it a go at Castle Combe, if we can  get out of bed on time! We would appreciate some tutelage, having not officiated before. Your phrase "decide on the race format" suggests that "Thou shalt race for two hours at Castle Combe" is not actually one of the Ten Commandments - or am I misreading between the lines?

Hi Neil

I'm probably not racing at Castle Combe, so if I can give you both some assistance, I'd be happy to.

I care not given that I am a. not the Competition Secretary and b. not going to be there. It is however a good course for a long race and since some will be going over to Cycle Vision (you will won't you?) some long (ish) training might be handy. And there will also be the odd pedalcar race going on for about 96 hours to make us look insignificant. And we have been doing 2 hours for a while.
Otherwise it's up to you!

Absolutely not.

I see no reason to keep it down to just two hours... Just let everybody know if they need to fit lights...

Seriously... There has been a lot of discussion about making the race events into more of a day out rather than everybody just whizzing round for 40 minutes then clearing off home, so I'm sure any new ideas from the various event organisers would be welcome. Personally I'll try pretty much anything at least once...

In the interests of variety, if nothing else, having the odd longer race gets my vote.  And as it's "traditional" at Castle Combe, that's the one place we can have one without risking a riot.

Come on people, Hayes/Hillingdon is only a couple of weeks away and no-one is volunteering to organise.
Looks like it won't make it as a points event then...

Good on you Kev...

Kev does a big chunk of the work at most events and in between on the computer system...
Much appreciated but hardly fair. He likes to race as well and I'm sure he'd sometimes like a chance to sort his bike out and have a warm-up which is tricky when you are organising!

Would somebody who isn't helping at one of the other events like to volunteer to help out at Hayes (and Eastway)??

By the way, does anybody know who is going to have the keys to the gates and toilets at Hayes?? I believe that Dennis Adcock brought them along last time... Anybody know if he's coming this time??

And who has the stop-watches and flags etc and are they coming along??

If we work out who is going to organise at Eastway they can take the kit away from Hayes...

I am hoping for the first time, that this event there is no twddling with the computer post event.  It is now possible to produce all the result sheets and the HTML for the web site at the 'touch' of a button. (You just have to know which one to press Wink )
But back to Hayes.  I can do the registration, input the times for a couple of the races but someone will have to do the organising of the races themselves and one of the races input.  I would also like someone else to 'trial' using the computer so that I do not have to do this every time.
Come on  the rest of you - if you want to race then why not do a bit of work occasionally as well
THE ALTERNATIVE IS THERE WILL BE NO RACING! YOUR CHOICE

I have the stopwatches (many of which are presently receiving fresh batteries), flags  etc and shall bring them to Hayes - happy to pass them on to a willing volunteer for Eastway.
I'd like to ride at Hayes but am happy to do a bit of shouting for the other, i.e. the fast, race.

I know for a fact Dennis won't be at Hayes. I am trying to sort flights and lifts to/from LHR Sunday - will know by Thursday. If that is the case I will run with Hayes - shouting and all.

Ahoy!

I'll gladly do some button-prodding while Kevin is on the track, given that I am supposed to be at least vaguely a Babbage-Engine driver...

So have we actually got anybody sorting out the races at Hayes?

Sherri??

If so:

1. How long are we racing for?
2. Any ideas for fun races?
3. Who has the keys to the gates?

Going to be a little embarrassing if we can't get in...

Thanks Sherri. See you on Sunday!

Probably not a good idea; I've only raced once so far, so I'm not very familiar with the duties of an organiser...

...but if nobody else comes forward (they won't now!) I'm willing to organise Eastway.

Could I be excused watch-holding duties at Hayes in order to "shadow" the organiser there and learn what needs doing?

Thanks Nick!

I'd say that shadowing the organiser of the previous event is a good idea for all new organisers...

Well now I've been and gorn and done it...

I'll have been at a wedding in Herefordshire the day before, and probably won't have had my usual ration of beauty sleep, so I am likely to look a bit rougher than usual.

Does the Organiser get to race? I would hate to miss the last event at my local circuit, and I need the Eastway event to make up my Championship eight.

I can probably cajole* my other half, Judith, into lending a hand if somebody is needed to hold back ravening hordes officiate while I ride.

There is no reason why the organisor can not race - it should be that organisor duties are shared between a few people in any case.  And I'll be happy to sho you and Dave how to use the babbage thing

Does anybody know who is collecting the keys???

I offered to gNick to organise next Sunday, ideally with some help from someone else. Is there anyone local who could pick up the keys? I'll be bad tempered if I've got to get up too early!

Rob and Carol have the stop watches etc - not because they want to organize, simply because their van was big enough to put the stuff in at Lancaster.

Any takers??

Just been in contact with the man wi the the keys and they can be collected either the night before or on the day from his house in Hounslow (just off the A4 - about 4 miles from the circuit).

Will someone please volunteer to pick them up and do the track unlocking.

Assuming that nobody is closer than us... having checked with my driver, we could pick them up on our way to the circuit.

What time are they available?
What is the address?
Presumably we need to be last out, and to drop the keys back to the keyholder on our way home?

Thanks Nick, I'll send the address to you off list.
You don't need to do the locking upbut somebody MUST. We will be highly unpopular if we leave the gate open and let the Pikeys in.
